Terms and Conditions

At Invicta Golf our customers are our most valued assets and we want to ensure that when you book with us you can be confident that your interests will be actively protected.

Our Terms and Conditions have therefore been designed to ensure that you will always get a fair deal when you book with us.

General Information

The following Terms and Conditions form the basis of any contract between you and Invicta Golf. When you contact us to make a booking you appoint Invicta Golf to act as your agent to obtain the requested services for you. When we (Invicta Golf) have done so, and you have confirmed the booking and paid the relevant deposit we will accept responsibility for the provision of the agreed package from that point onwards. We will then send you a confirmation invoice, which acts as our acceptance of your booking on the Terms and Conditions set out below.

Please note that all packages and additional options featured on our website are subject to availability and change. We will however notify you as soon as possible of any material change to the agreed booking arrangements and offer you new arrangements of a similar or equal standard and quality if you so wish.

Great care and diligence has been taken in the wording and content of our website and advertising material. All information has been researched and compiled as accurately as possible and is subject to constant review in order to ensure that it is both accurate and up to date. However, details can change without our knowledge and where possible we will advise you as soon as we become aware of such changes.

Bookings, Payments and Prices

Bookings can be made at any time. However, we may not be able to guarantee any specific requests you might make on bookings of less than 14 days notice.

Immediately after we have agreed your itinerary and you have confirmed your booking we will send you a confirmation invoice that will constitute a binding contract between Invicta Golf and yourself. The contract will become effective 7 days after your confirmation invoice has been sent. If you are due to travel within 7 days the contract will become binding on the day of booking. A deposit of 30% of the total package cost is required to confirm your booking and must be received within 14 days of receipt of the confirmation invoice. Receipt of your deposit will indicate your acceptance of our Terms and Conditions.

Payment should be by personal or company cheque, bank draft or bank transfer to the relevant bank account, details of which are included on the confirmation invoice.

Please note that if your deposit is not received within 14 days Invicta Golf reserves the right to cancel your booking.

The balance of the total cost is payable 45 days prior to arrival.

The final balance must be paid by cheque, bank draft or bank transfer.

We fully guarantee the cost of your package on our booking confirmation invoice. These costs will not change unless you, the client, or we, Invicta Golf, change the agreed booking.

Changes to Bookings

We take the greatest care to ensure that the information we provide you with regarding your booking either on our website, in our promotional literature or in our booking details is both up to date and accurate. We do however reserve the right to change the description of services, facilities or prices at any time until your booking has been confirmed.

If, on receipt of our proposed itinerary you wish to make any specific changes you should contact us as soon as possible to enable us to make alternative arrangements.

We reserve the right to make an appropriate amendment charge, normally £10 to £25, should you wish to make material changes to your itinerary once booking has taken place and your deposit paid. 

Cancellations

If the operator (Invicta Golf) cancels any booking, all deposits and payments will be refunded in full. We will consider this a fair and reasonable settlement.

Notice of cancellation by the client must be made in writing as soon as possible. Cancellation charges will apply as follows:

More than 45 days prior to arrival…Initial deposit
45 to 29 days prior to arrival……….30% of invoice total
28 to 15 days prior to arrival……….50% of invoice total
15 to 8 days prior to arrival…………80% of invoice total
7 days or less prior to arrival……….100% of invoice total

Exceptional Circumstances

  • Additional items or expenditure which are not covered by the terms of your booking such as the services of a caddie, alcoholic drinks, meals, laundry, telephone bills, personal accident cover, fuel or any other item or expenditure not included in your agreed itinerary are your responsibility.
  • If you have a medical condition or disability that may affect your being able to take part in the activities covered by your booking or may lead to short notice cancellation of your booking you should advise us when booking or as soon as possible after the condition arises. Unfortunately many hotels and transport services are still not sufficiently well equipped to deal with disabled customers but we will do our very best to ensure that we are able to meet your needs wherever we can reasonably do so.
  • Force Majeure. We are unable to pay compensation if we have to cancel or change your booking arrangements in any way because of industrial disputes, terrorist activity, natural disaster, fire, adverse weather conditions or any other unforeseen circumstances that may constitute force majeure.
  • Personal injury unconnected with your booked arrangements. We are not responsible for any additional arrangements that you may make whilst with us and which have not been made by Invicta Golf. If you or any member of your party suffer death, illness or injury arising out of an activity which does not form part of your booking arrangements with Invicta Golf, we shall at our discretion, offer advice, guidance and assistance.
  • Special Requests/Requirements If you have any special requests or requirements not covered on our website or in these Terms and Conditions, you should tell us at time of booking. Whilst we will do our utmost to accommodate any reasonable requests you should be aware that we could not guarantee that this would be the case and suppliers may in any case be unable to meet the request.

Operator Responsibility

We accept responsibility for ensuring that all component parts of the package which you book with us are supplied to you at a reasonable standard and as described on our website, in our promotional material and on your booking invoice.

We do however reserve the right to withdraw from any of our itineraries and to make alterations that are convenient for both parties to ensure the safe and proper discharge of our commitment to you.

Complaints

If you have a complaint about any aspect of your holiday or group booking we would be grateful if you could contact us immediately by telephone (01233 645525) if urgent, or by e-mail (invictagolf@aol.com) or in writing if less urgent. All complaints must be submitted within 28 days of returning from your holiday. We cannot accept liability in respect of complaints made after the 28-day deadline. Feedback

It is also important that we are aware of any problems or difficulties that you may experience during your holiday or group day, which may not be directly related to or caused by Invicta Golf. We are keen to ensure that all our agents and contractors are of the highest standard and that the services they supply are acceptable. If you have any comments or suggestions to make regarding any aspect of our service or that of our agents please contact us as soon as possible so that we may address and rectify any issues.

Insurance

We strongly recommend that you take out comprehensive holiday or specialist golf insurance before you travel. You should ensure that the policy would cover you if you have to cancel your booking or for any emergencies that may arise while you are away.

Travel and Transport

Unlike many other tour operators our itineraries are designed to be flexible and accommodating to enable you to travel at your own convenience. Kent is one of the most accessible counties in the UK no matter your point of departure and has ready access to all of the major airports, motorways, ferry terminals and major railway stations in the south-east of England.

Car Hire

For those who appreciate the convenience of car travel but do not wish to drive to Kent we can arrange car hire to suit your budget at an inclusive price in your package. You can of course arrange your own car hire on arrival if preferred.

Carriage of Clubs

The carriage of golf clubs from departure point to destination is the responsibility of the client. Under present circumstances it is extremely difficult to predict what charges, if any, airlines in particular, will make for carriage of clubs. We would therefore strongly recommend that you check with carriers before travel to avoid any unnecessary and unexpected expense and where possible get written confirmation of charges as many airlines now leave charges for ‘excess’ baggage to the discretion of check-in staff.

Flights

If you choose to travel by air, all of the south-east’s major airports (Heathrow, Gatwick, Stansted and London City are within reasonable travelling distance (average 1 hour) of your destination in Kent and we can arrange for airport transfers to and from your accommodation using reliable, local carriers.

Rail

Rail services to all areas of Kent from London are both frequent and reliable. Journey times will differ depending on your choice of itinerary (from around 30 to 90 minutes).

Travel within Kent

Clients who have booked an inclusive package with transfers from airport to accommodation and from accommodation to golf courses and leisure destinations will on most occasions have the service of a luggage trailer to accommodate clubs and other bulky golf equipment.

Local Carriers

Invicta Golf has vetted all of our local carriers for the standard and quality of their service. If you have any comments to make regarding the service you have received please contact us as soon as possible.

Travel outside the UK

Kent is the nearest part of the UK to Europe and travel to the continent is fast and easy by ferry, tunnel or air. If you wish to travel outside the UK we can offer you expert advice and guidance. You should also remember that a passport will be required if you wish to do so.

Accommodation

Kent has an extremely large and varied choice of accommodation to suit all tastes and budgets and we are confident that we would be able to successfully meet your requirements.

During the summer season however, it may not be possible to book specific accommodation which you personally request due to demand. We will in all cases try to ensure that you are offered accommodation of equal standard in the same area.

We will provide you with as much detail of your accommodation as possible e.g. parking availability, along with your booking confirmation. If you require more information please call our Customer Services on 01233 645525.

We regret that Invicta Golf will not be able to refund the cost of any pre-booked but unused services e.g. meals, leisure facilities etc.

We will also advise you wherever possible of any localised or unexpected charges that might apply during your stay and of any circumstances which might affect your stay e.g. building work, road noise etc.

Weather

All weather information contained on our website and in our promotional material is only to be used as a guide and although accurate in a general context we cannot guarantee the accuracy of such information at the time of your stay.

Course Arrangements

When making your booking we will ask you to give details of the number of rounds you would like to play, the types of courses e.g. links and the number of players. We will put together an itinerary, which matches as closely as possible your stated preferences. This will be forwarded to you for consideration.

Due to the fact that our itineraries are customised to your requirements, the large number of courses available and the wide range of leisure options available within our itineraries we would request that you try to be as flexible as possible in your arrangements regarding starting times etc to allow us to maximise our ability to book the best available options.

Whilst we always endeavour to meet requests for specific courses, days and times this may not always be possible. Some prestigious courses, only a few, do limit visitor numbers and prescribe times that may not coincide with your requirements. We would however try to book a course of similar style and playing ability. We cannot therefore accept requests as binding.

Some courses may reserve the right to make up matches to four-balls at busy times.

Cancellation of booked tee times may incur cancellation charges up to the value of the pre-paid green fee, subject to the policy of the course concerned.

Should you wish to change a confirmed tee time we reserve the right to charge an amendment fee.

Course Conditions

We cannot be held responsible for the playing conditions at any of the courses we book for you whether due to course maintenance, climatic conditions etc. We do however maintain close contact with all of our featured courses and we will notify you of any major changes to the layout of the course or its condition prior to play.

Closure of a golf course due to adverse weather conditions is at the discretion of the individual course but in our experience this is very unlikely. We will however endeavour to arrange a suitable alternative wherever possible and practical.

Handicap Certificates

Whilst compulsory production of a handicap certificate prior to play is thankfully not yet a widespread practice it is possible that some courses may ask visitors to provide one, although again this is unlikely. We do however recommend that you take a current certificate with you to avoid any disappointment as club rules can be changed at short notice without our knowledge. Where a handicap certificate is required we will advise you at time of booking.

Local Rules

Any local rules on courses that we have booked for you will be detailed in your final booking invoice including those regarding dress, behaviour etc.

Buggies

Only a few courses in Kent are built to US specifications that necessitate buggy use or hire. On most UK courses a buggy is normally regarded as an optional extra although some courses do provide buggies for disabled use. We would therefore ask that you advise us as soon as possible if you do require a buggy or special assistance so that we can tailor your itinerary accordingly.
